Private Driver Cost in India: Daily Rates, Inclusions & Booking Fees

Helen and Tom landed at Delhi's Terminal 3 just after midnight, tired from the Manchester flight, and found a driver called Rakesh waiting by pillar 6 with their names on a white card. On the way to Aerocity, Tom asked the question every first-time visitor asks sooner or later: "So the INR 4,000 a day we agreed, what does that actually pay for?" Rakesh smiled, pointed at the fuel gauge, then at himself, then at the odometer. Fuel, driver, kilometres. That was the honest short answer, and it is a good place to start.

The longer answer matters because a private car with a driver is the single biggest line in most India itineraries after hotels. Over a two-week trip it can run from USD 600 to well over USD 1,500, depending on the car, the region and the route. Prices change between Delhi, Rajasthan, Kerala and the Himalaya, and the way a quote is built (per day, per kilometre, local or outstation) changes the final bill more than most travellers expect. Below we break down the real daily rates, what sits inside them, how deposits and cancellations normally work, and what we see on the road every week.

What a Private Driver Day Rate Actually Includes

A standard private driver cost in India quote is a bundle of three things: the car, the fuel and the driver. The car part covers the vehicle itself, its insurance, its commercial tourist permit for the home state and its regular servicing. Fuel is diesel or petrol for the kilometres you are allowed in the package. The driver part is his salary for the day, and in a good company that also means his training, his uniform and a phone that works on WhatsApp. When an operator says "INR 3,800 per day for a Swift Dzire", those three pieces are already mixed together.

The kilometre allowance is the piece that confuses people. On outstation trips most companies set a 250 km daily minimum, and they average it across the whole trip. If you book seven days, you have 1,750 km to use. Drive 230 km from Delhi to Agra on day one, sit in Agra on day two, and the unused kilometres are not refunded, but they also do not get charged twice. Only if the total crosses 1,750 km does the extra rate apply, usually INR 15-17 per km for a sedan and INR 21-24 for an Innova Crysta.

What the day rate normally does not include is equally important. Highway tolls, interstate permits, parking fees, the driver's night allowance and GST at 5% are usually listed as extras or bundled only in an all-inclusive car hire quote. Monument tickets, guides and meals for you are never inside a car rental price. A fair operator writes all of this on the quote in plain words. If a quote simply says "car with driver, INR 3,200 per day" and nothing else, expect the bill to grow by 25-40% once the extras arrive.

The driver salary component deserves a word of its own. Drivers on tourist routes in Delhi and Rajasthan earn roughly INR 18,000-28,000 a month in fixed pay, plus a night allowance of INR 400-600 every night they sleep away from home. That night allowance pays for his dinner and his bed. It is not a tip and it is not optional. A day rate that looks very cheap often hides a low base salary, which in turn pushes a driver to make up the gap with shopping commissions at carpet and gem stores. A slightly higher rate tends to buy a calmer, better-rested man behind the wheel.

At Payless Tours India we write the car, fuel, driver, kilometre allowance and every extra into one table so the guest sees the full figure before paying anything. That is the simplest test of any quote: can you add it up yourself, line by line, and arrive at the final number?

Outstation Packages vs Local Packages: How the Billing Works

Car hire in India runs on two quite different systems, and mixing them up is the most common reason a bill surprises people. A local package is for use inside one city. The standard unit is 8 hours and 80 km, often written as "8/80". In Delhi a sedan on an 8/80 package costs INR 2,800-3,500 (USD 33-41), and an Innova Crysta costs INR 3,800-4,800 (USD 45-56). Go over the hours and you pay roughly INR 250-400 per extra hour; go over the kilometres and you pay the per-km rate. Local packages suit a full day of sightseeing in Old and New Delhi, where you might cover only 50-60 km but spend nine hours in traffic and at monuments.

An outstation package begins the moment the car leaves the city limits. Here the unit is the calendar day, not the eight-hour block, and the 250 km daily minimum applies across the trip. A sedan outstation costs INR 3,500-4,200 per day (USD 41-49) and an Innova Crysta INR 5,000-6,500 (USD 59-76). Hours do not matter much on an outstation day; what matters is the total kilometres and whether the driver has to drive late. A Golden Triangle car hire loop of Delhi, Agra and Jaipur over six days usually comes to 750-850 km, well under the 1,500 km minimum for six days, so you pay the flat daily rate and nothing for extra distance.

Things get interesting when a trip mixes both. Say you spend two days in Delhi, then drive to Agra and Jaipur. Some operators charge the Delhi days as local 8/80 and switch to outstation on day three. Others charge everything as outstation from day one, which is simpler but costs you the 250 km minimum on days when you only drove 60 km around Delhi. Ask which method is used. On a ten-day trip the difference can be INR 3,000-6,000.

One more distinction: one-way transfers are priced differently again. A sedan from Delhi to Jaipur one way costs INR 7,000-9,500, which looks steep for 270 km. The reason is that the car and driver must return empty, so you are paying for about 540 km plus a driver's day. Where the same car stays with you for the next few days, that return cost disappears from the price, which is why a continuous booking almost always beats stringing together single transfers.

Our advice is to look at your route first and the price second. If you will be based in one city for several days with short hops, local packages save money. If you are moving every day or two, a single outstation booking from arrival to departure is cleaner, and the driver stays with you as one familiar face for the whole trip, which many guests later say was the best part.

Rates by Car Type Across Delhi, Rajasthan, Kerala and Himachal

The car you pick sets the base, and the region adjusts it. In Delhi and across the Golden Triangle, a Swift Dzire or Toyota Etios with driver suits two people with two medium suitcases. Expect INR 3,500-4,200 per day outstation. The Innova Crysta with driver is the most booked car for foreign families: seven seats, real legroom, room for four large bags, and a smoother ride on long highway stretches. It costs INR 5,000-6,500 per day. Groups of six to twelve move to a Tempo Traveller at INR 8,000-10,000 per day or a Force Urbania at INR 11,000-14,000. Luxury cars sit in another bracket entirely: a Toyota Camry runs INR 8,000-10,000 for a Delhi local day, a Mercedes E-Class or BMW 5 Series INR 11,000-15,000, and a Mercedes S-Class or BMW 7 Series INR 25,000-35,000.

Rajasthan car hire rates are close to Delhi's, but distances are larger. A typical 14-day route of Jaipur, Pushkar, Jodhpur, Jaisalmer, Udaipur and back to Delhi or Jaipur covers 2,300-2,700 km, which can push a trip slightly over the 250 km daily minimum on long days such as Jodhpur to Jaisalmer (about 285 km, five hours). A Delhi-registered car also pays the Rajasthan state permit at the border, roughly INR 1,000-2,000 for a car. Many travellers book a Rajasthan-registered car from Jaipur to avoid that, though the saving is often eaten by the cost of positioning a second car.

In Kerala and the South, rates look a little lower on paper, but the structure is different. Many Kerala operators work on a 200 km daily minimum because the roads are slower, so a Cochin to Munnar run of 130 km takes four hours of winding climb. Sedans there run INR 3,200-4,000 per day and an Innova Crysta INR 4,800-6,000. Hill sections in Munnar and Thekkady can add a modest hill charge of INR 300-500 a day, and the AC is sometimes switched off on steep climbs to protect the engine. Across Tamil Nadu, Karnataka and Kerala, crossing a state line adds a South India state entry tax of several hundred to a few thousand rupees per border.

Himachal Pradesh is where the hill route surcharge really shows. An Innova Crysta from Delhi to Shimla and Manali costs INR 6,000-7,500 per day, and the daily minimum falls to about 200 km because a mountain day might be 120 km in six hours. Under Himachal taxi union rules, local unions in Manali and Shimla also control certain sightseeing runs. Outside cars are often not allowed to do local trips to Solang Valley or Rohtang Pass, so you hire a union taxi for that day at INR 3,500-5,500. Rohtang itself needs an online Rohtang permit of about INR 500-600 per vehicle, numbers are limited, and the pass is closed on Tuesdays.

Put simply, plains are cheaper per day and hills are dearer, because the car burns more fuel, wears its brakes and covers fewer kilometres for the same hours.

Advance Payments, Deposits and Cancellation Before You Book

Almost every reputable operator in India asks for an advance payment for car hire before confirming a car and driver. The norm is 20-30% of the total transport cost, paid when you book, with the balance paid on arrival or in cash to the driver over the trip. On a USD 900 car booking that means USD 180-270 up front. The deposit lets the company block a specific car and driver for your dates, especially in the busy months from October to March, when good Innova Crysta drivers are fully booked weeks ahead.

How you pay matters. International cards through a secure payment link usually carry a 3-4% bank fee, which some companies pass on. Wise and direct bank transfers are cheaper. PayPal works with many operators but adds about 4.4% plus a fixed fee. Ask for a written booking confirmation that shows the car model, the number of days, the kilometre allowance, every extra, and the cancellation terms. If an operator wants 100% in advance for a two-week trip with no written confirmation, that is a warning sign.

Cancellation rules vary, but a fair pattern looks like this. Cancel more than 30 days before arrival and you get the full deposit back, minus any bank charges. Between 30 and 15 days, the company keeps 25-50% of the deposit. Within 7 days or a no-show at the airport, the deposit is usually lost, because the driver turned down other work for those dates. Hotels and trains booked by the operator follow their own rules, which can be stricter. Read the car rental cancellation policy before you pay rather than after, and check whether date changes are free; most operators will move a booking once at no charge if you give two weeks' notice.

The balance payment on arrival is where cash comes in. Drivers often carry a small card machine now, but in smaller towns the network fails, so many travellers pay the balance in rupees at the start or split it across the trip. Withdraw from bank ATMs inside banks or malls, and keep the payment receipt or a WhatsApp message from the office acknowledging each payment. A good company sends that receipt the same day.

Finally, compare quotes on the same basis. One operator may quote INR 3,600 per day with everything extra, another INR 4,600 all-inclusive with tolls, permits, parking, night allowance and GST built in. The second is often cheaper in the end. Line them up for the same car, the same days and the same kilometres, ask what happens if your flight is delayed, and pick the company that answers clearly and in writing. That clarity is worth more than a saving of a few hundred rupees a day.

Ask a question

A sedan such as a Swift Dzire costs INR 3,500-4,200 (USD 41-49) per day on outstation trips with a 250 km daily minimum. An Innova Crysta costs INR 5,000-6,500 (USD 59-76). Tolls, permits, parking, night allowance and 5% GST may be extra unless the quote says all-inclusive.

Yes, fuel is included for the kilometres in your package. If you go beyond the total allowance, extra kilometres are charged at INR 15-17 for a sedan and INR 21-24 for an Innova Crysta. That per-km rate already covers the fuel.

A local package covers one city, usually 8 hours and 80 km, from INR 2,800 for a sedan in Delhi. An outstation package is charged per calendar day with a 250 km daily minimum averaged across the trip. Hours matter on local days, kilometres matter on outstation days.

Most operators ask for 20-30% of the transport cost to confirm the car and driver. The balance is paid on arrival or during the trip. Avoid paying 100% up front without a written confirmation.

Cancelling more than 30 days ahead usually returns the full deposit minus bank fees. Between 30 and 15 days, 25-50% of the deposit may be kept. Inside 7 days or a no-show, the deposit is normally lost.

Mountain roads burn more fuel, wear brakes and cover fewer kilometres per hour. An Innova Crysta in Himachal costs INR 6,000-7,500 per day against INR 5,000-6,500 on the plains. A hill charge of INR 300-500 a day is also common.

Often not. Taxi unions in Manali and Shimla restrict outside cars on certain local runs such as Solang Valley and Rohtang Pass. You hire a local union taxi for that day at INR 3,500-5,500.

The daily figure is slightly lower, around INR 3,200-4,000 for a sedan, but many Kerala operators use a 200 km daily minimum. State entry taxes when crossing into Tamil Nadu or Karnataka add to the total. Overall the cost is similar.

Yes, the driver's daily wage is built into the rate. His night allowance of INR 400-600 per night is either listed separately or included in an all-inclusive quote. Tips are separate and at your discretion.

A Swift Dzire or Toyota Etios is fine for two people with medium luggage. If you have two large suitcases or want more legroom on long days, the Innova Crysta is worth the extra INR 1,500-2,300 per day. Most foreign couples who try both prefer the Innova.
